This Privacy Policy explains how Relational Notions LLC (“Relational Notions,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you:

• visit www.relationalnotions.com or its subdomains;

• create or use an account in our online learning environment;

• enroll in or purchase a course, program, event, resource, or subscription;

• participate in a learning activity, assessment, form, community, or live session;

• download a resource or subscribe to communications;

• engage us for consulting, facilitation, coaching, or organizational services; or

• otherwise communicate or interact with us.

These activities are collectively referred to as the “Services.”

Our learning environment is hosted using LearnWorlds. LearnWorlds processes certain information to provide hosting, authentication, course delivery, community, reporting, communications, and related platform functions for our school.

Relational Notions is responsible for the information-processing practices described in this Policy. LearnWorlds and other providers may also process information for their own legitimate purposes under their respective privacy notices.

2. SCOPE

This Policy applies to personal information controlled by Relational Notions through the Services.

It does not govern:

• a third-party website or service linked from our Website;

• information controlled independently by a payment processor, social-login provider, videoconferencing provider, or other third party; or

• information we process solely under the instructions of an organizational client, except as described in Section 13.

A separate client agreement or data-processing agreement may apply to organizational engagements.

3. INFORMATION WE COLLECT

The information we collect depends on how you interact with us.

Contact and identifying information

This may include:

• name;

• username;

• email address;

• telephone number;

• postal, billing, or business address;

• account or user identifier;

• organization, department, and job title; and

• communication preferences.

Account and authentication information

This may include:

• login credentials or authentication tokens;

• email-verification status;

• account status;

• registration date;

• last login;

• security settings; and

• social-login identifiers if you use a supported social sign-in service.

Passwords and authentication information may be managed through LearnWorlds or another authentication provider.

Purchase and transaction information

This may include:

• products, courses, programs, or subscriptions purchased;

• enrollment, payment, refund, cancellation, or renewal status;

• transaction amount and date;

• coupon, affiliate, or promotional information;

• billing address;

• invoice information; and

• limited payment-method details provided by a payment processor.

Complete card or bank-account credentials are generally processed by payment providers such as Stripe or Paypal, rather than stored directly by Relational Notions.

Learning and participation information

LearnWorlds and Relational Notions may collect:

• course and program enrollments;

• lesson, unit, or course progress;

• assessment, quiz, assignment, reflection, and form responses;

• scores, completion status, badges, and certificates;

• attendance and participation in live sessions;

• learning activity timestamps;

• course notes or submitted files;

• instructor feedback;

• tags, groups, seat assignments, and learning recommendations;

• community posts, comments, reactions, messages, and profile information; and

• technical-support or learner-support history.

If an organization sponsors or manages your access, certain enrollment, participation, progress, and completion information may be made available to its authorized account manager, as explained in Section 7.

Communications and submitted content

This may include:

• emails and support requests;

• contact-form and marketing-form responses;

• consultation and scheduling information;

• survey and feedback responses;

• documents, photographs, images, audio, or video you provide;

• community contributions; and

• recordings or transcripts of meetings or live sessions when notice and any required permission are provided.

Professional and organizational information

For consulting, facilitation, and organizational services, we may collect:

• employer or organizational affiliation;

• position, department, and professional role;

• business contact details;

• organizational needs and engagement information; and

• information provided in interviews, surveys, workshops, or assessments.

Device, internet, and usage information

We and our providers may automatically collect:

• Internet Protocol address;

• browser and device type;

• operating system;

• language and approximate location derived from an IP address;

• pages viewed and links selected;

• referring and exit pages;

• dates, times, and duration of activity;

• login and platform events;

• error, diagnostic, and security records;

• email-delivery and engagement information; and

• cookies, pixels, local storage, and similar identifiers.

Our use of these technologies is described in our Cookie Policy.

Marketing and lead information

When you request a resource or subscribe to communications, we may collect:

• name and email address;

• signup source;

• form or lead tag;

• marketing consent or opt-out status;

• campaign and referral information;

• UTM parameters; and

• email delivery, open, and link-interaction information where enabled.

Sensitive personal information

We do not intentionally request sensitive personal information through ordinary public contact forms unless it is reasonably necessary and the purpose is explained.

Because our work may concern organizational culture, equity, identity, and belonging, participants may sometimes voluntarily provide information concerning race, ethnicity, gender identity, disability, or other sensitive characteristics in a survey, workshop, interview, or engagement.

Where we collect such information, we use it only for the disclosed engagement, reporting, accommodation, or service purpose. We do not use sensitive personal information to target advertising or make automated decisions producing legal or similarly significant effects.

Do not submit medical, financial-account, government-identification, or other highly sensitive information unless we specifically request it through an appropriate method.

4. SOURCES OF INFORMATION

We obtain personal information:

• directly from you;

• automatically from your device or use of the Services;

• from an organization that purchases or administers access for you;

• from LearnWorlds and other providers that support the Services;

• from payment, scheduling, authentication, communications, or analytics providers;

• from public or professional sources when relevant to a business inquiry; and

• from referrals or business partners where permitted by law.

5. HOW WE USE INFORMATION

We may use personal information to:

• create, secure, and administer accounts;

• provide courses, programs, digital resources, communities, and live sessions;

• process purchases, subscriptions, refunds, and invoices;

• enroll users and maintain learning records;

• track progress and issue certificates;

• provide consulting, facilitation, coaching, and organizational services;

• respond to questions and provide support;

• send account, enrollment, security, scheduling, and administrative notices;

• personalize content and learning experiences;

• operate forms, assessments, automations, tags, groups, and seat assignments;

• communicate with organizational clients about sponsored participation;

• send marketing communications consistent with your preferences;

• measure and improve our Website, Services, and communications;

• detect fraud, abuse, security incidents, and technical problems;

• protect our rights, users, and Services;

• comply with legal, tax, accounting, and regulatory obligations;

• establish, exercise, or defend legal claims; and

• complete a merger, financing, reorganization, acquisition, or transfer of business assets.

We do not use personal information for materially different, unrelated purposes without providing additional notice where required.

6. MARKETING COMMUNICATIONS

You may receive marketing communications if you request them, submit a form containing appropriate marketing language, or otherwise provide permission where required.

You can unsubscribe through the link in a marketing email or by contacting myprivacy@relationalnotions.com.

Unsubscribing from marketing does not prevent necessary transactional or relationship communications concerning your account, purchases, enrollments, security, scheduled sessions, or active Services.

LearnWorlds allows users to manage certain email, announcement, and marketing preferences through their account’s Notifications & Privacy settings when those features are enabled.

7. HOW WE DISCLOSE INFORMATION

We may disclose personal information to the following recipients for the purposes described in this Policy.

LearnWorlds and platform providers

We use LearnWorlds to provide website hosting, accounts, authentication, payments integration, course delivery, learning records, forms, community features, communications, analytics, and administration.

Payment and transaction providers

Payment processors such as Stripe or Paypal may receive transaction, billing, and payment information to process payments, refunds, subscriptions, fraud prevention, and related services.

Technology and business providers

We disclose personal information to service providers that process information on our behalf and assist us in operating our website, delivering courses and services, processing transactions, communicating with customers, and maintaining our business.

Our principal service providers currently include:

• LearnWorlds, which provides our online learning platform, website hosting, user accounts, course delivery, and related platform services;

• Stripe, which processes payments and related transaction information;

• Moosend, which assists with transactional emails, newsletters, or marketing communications;

• Zoom, which facilitates appointments, meetings, or online sessions; and,

• Google Analytics, which helps us understand website usage and performance.

We may also disclose personal information to providers of cloud hosting, content delivery, customer relationship management, security, authentication, fraud prevention, forms, surveys, document storage, bookkeeping, accounting, and customer or technical support. These providers are permitted to access and use personal information only as reasonably necessary to provide services to us or as otherwise permitted by law.

The specific providers we use may change. When a change materially affects how we collect, use, or disclose personal information, we will update this Privacy Policy as appropriate.

Organizational clients and account managers

If an employer, organization, institution, or other client sponsors or administers your access, we may provide its authorized representatives with information reasonably related to that arrangement, such as:

• enrollment status;

• attendance;

• progress and completion;

• certificates;

• engagement or participation information;

• reports agreed upon with the organization; and

• account or seat-management information.

We do not provide the organization with private community messages, individual reflection responses, or sensitive survey answers unless that disclosure is described in advance, authorized, or required for the engagement.

Professional advisors

We may disclose information to attorneys, accountants, insurers, auditors, and other advisers when reasonably necessary.

Legal and safety purposes

We may disclose information if reasonably necessary to:

• comply with law, legal process, or a valid government request;

• investigate fraud, abuse, infringement, or security incidents;

• protect the safety, rights, and property of Relational Notions or others; or

• establish, exercise, or defend legal claims.

Business transfers

Information may be transferred in connection with a merger, financing, acquisition, reorganization, sale of assets, or similar transaction, subject to applicable privacy obligations.

8. SALE, SHARING, AND TARGETED ADVERTISING

We do not sell personal information for money. Some optional analytics, advertising, or social-media technologies may disclose identifiers and internet activity to third parties in a manner that may be considered “sharing” under California law, even though we do not receive money for the information.

California residents may opt out through:

• the Your Privacy Choices link in our Website footer;

• the LearnWorlds cookie-preference controls; or

• a recognized browser-based opt-out preference signal, such as Global Privacy Control.

We do not knowingly sell or share personal information belonging to consumers under 16 years old.

9. DATA RETENTION

We retain personal information only for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, provide our services, honor purchased access, maintain appropriate business and financial records, resolve disputes, enforce our agreements, protect our services, and comply with applicable law.

Our standard retention periods are set out below. A record may fall within more than one category. In that event, we apply the retention period appropriate to the purpose for which the particular record is maintained. We may delete or anonymize information earlier when it is no longer reasonably necessary.

When a retention period expires, we will delete, anonymize, or securely dispose of the information, subject to technical limitations and applicable legal requirements. Anonymized or aggregated information that can no longer reasonably be associated with an identifiable individual may be retained for research, statistical, security, analytical, and business-planning purposes.

A request to delete a LearnWorlds account may not automatically remove the same person’s information from payment processors, email systems, customer-management platforms, scheduling services, exported reports, or other connected systems. When deletion is required, we will take reasonable steps to address the applicable records in each system in which they are maintained.

We may retain particular information beyond the periods above when reasonably necessary to:

• comply with tax, accounting, regulatory, insurance, or other legal obligations;

• complete a transaction requested by the individual;

• maintain evidence of purchases, consent, course completion, or contractual rights;

• detect, investigate, or prevent fraud, misuse, or security incidents;

• establish, exercise, or defend legal claims;

• comply with a subpoena, court order, or legal hold; or

• protect the rights, safety, and security of our users, clients, organization, and others.

We periodically review the information we maintain and may shorten these retention periods when the information is no longer reasonably necessary for its disclosed purpose.

10. DATA SECURITY

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information we process.

No online service, transmission, or storage system can be guaranteed to be completely secure. You are responsible for using a strong password and protecting your account credentials.

If you believe your account or information may have been compromised, contact support@relationalnotions.com promptly.

11. YOUR PRIVACY CHOICES

Depending on your account and enabled LearnWorlds settings, you may be able to:

• review or update profile information;

• change email and announcement preferences;

• change optional cookie preferences;

• request a copy of certain account information;

• request account deletion or anonymization; and

• manage subscription or account settings.

These controls may be available through Account → Notifications & Privacy or another account page.

Deleting a LearnWorlds account may not automatically delete information held by every connected payment, email, CRM, scheduling, or analytics provider. We will address verified requests across the systems we control as required by law.

12. CALIFORNIA PRIVACY RIGHTS

California residents have rights under several California privacy laws. The particular rights available to you depend on the law that applies to Relational Notions and the information involved.

CalOPPA disclosures

The categories of information we collect, categories of recipients, review and correction methods, policy-change process, effective date, and treatment of browser privacy signals are described in this Policy.

CCPA/CPRA rights

Subject to applicable exceptions, California residents may have the right to:

• know the categories and specific pieces of personal information collected;

• know the sources, purposes, and categories of recipients;

• request deletion;

• request correction;

• opt out of the sale or sharing of personal information;

• limit certain uses and disclosures of sensitive personal information;

• receive information in a portable format; and

• receive equal treatment for exercising privacy rights.

We will not discriminate against you for exercising an applicable privacy right.

California Personal Information Disclosures

The following table describes the categories of personal information we collected from California consumers during the preceding twelve months. “Shared” in this table refers specifically to sharing for cross-context behavioral advertising as defined by California law; it does not include ordinary disclosures to service providers that process information on our behalf under applicable contractual restrictions.

No Sale or Sharing

During the preceding twelve months, we have not sold California consumers’ personal information or shared it for cross-context behavioral advertising. We do not have actual knowledge that we have sold or shared the personal information of consumers under 16 years of age.

We disclose personal information to service providers and contractors for business purposes such as maintaining user accounts, hosting and delivering courses, processing payments, preventing fraud, conducting live sessions, delivering communications, measuring email engagement, providing customer support, maintaining security, and performing related operational services.

Our principal service providers include:

• LearnWorlds, for website hosting, user accounts, course delivery, learning records, forms, assessments, community features, and related platform services;

• Stripe, for payment processing, billing, fraud prevention, refunds, and transaction administration;

• Zoom, for live classes, consultations, videoconferencing, chat, and recordings or transcripts when those features are enabled; and

• Moosend, for email delivery, mailing-list management, subscription preferences, campaign measurement, and limited audience segmentation.

These providers may process personal information only for the services they provide to us, as otherwise directed or permitted by the consumer, or as permitted or required by applicable law.

Submitting a request

We may request information reasonably necessary to verify your identity and authority. We will use verification information only for responding to the request.

An authorized agent may submit a request where permitted by law. We may require evidence of the agent’s authority and may ask you to verify your identity directly.

California “Shine the Light”

We do not disclose personal information to third parties for their own direct-marketing purposes without an applicable choice or authorization.

California residents may submit questions concerning California Civil Code §1798.83 to myprivacy@relationalnotions.com.

California users under 18

If a California resident under 18 has an account and publicly posts content, they may request removal by contacting myprivacy@relationalnotions.com. Removal from public display may not ensure complete removal from backups, records required by law, or content independently reposted by others.

13. INFORMATION PROCESSED FOR ORGANIZATIONAL CLIENTS

In some consulting, training, facilitation, or organizational engagements, Relational Notions may process personal information on behalf of a client organization.

When the client determines why and how that information is processed, the client’s privacy notice and agreement with Relational Notions may govern the information. Requests concerning that information may need to be directed to the client organization.

We may refer a request to the appropriate organizational client when it controls the relevant information.

14. DO-NOT-TRACK AND GLOBAL PRIVACY CONTROL

Some browsers offer a “Do Not Track” signal. Because there is no universally accepted standard for interpreting traditional Do Not Track signals, we do not currently respond to those signals.

Where required by California law, we treat a recognized opt-out preference signal, such as Global Privacy Control, as a request to opt out of the sale or sharing of personal information associated with that browser or device.

A browser signal may not apply to information associated with your account unless we can reasonably connect the signal to that account.

15. CHILDREN’S PRIVACY

The Services are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.

If you believe a child under 13 provided information to us, contact myprivacy@relationalnotions.com so that we can investigate and take appropriate action.

If an organization seeks to provide Services to minors, additional written terms and privacy safeguards may be required before the engagement begins.

16. PROCESSING IN THE UNITED STATES

Relational Notions operates from the United States. Information may be processed in the United States and in other locations where LearnWorlds or our other providers maintain operations.

Where legally required, we use appropriate contractual or other safeguards for transfers of personal information.

17. THIRD-PARTY LINKS AND SERVICES

The Services may link to or integrate with websites and services we do not control. Their privacy practices are governed by their own notices.

Review the privacy terms of payment processors, social-login providers, videoconferencing services, embedded-media providers, scheduling tools, and other third parties before providing information directly to them.

18. CHANGES TO THIS POLICY

We may update this Policy to reflect changes in our Services, providers, practices, or legal obligations.

The “Last updated” date identifies the current version. We will provide additional notice of material changes when required, such as through the Website, account, or email.

We will not apply materially different practices retroactively without additional notice or consent where required by law.
